Whitemans Green Sports Club (WGSC) is a trading name of Haywards Heath Rugby Football Club Limited.

Membership and access to the clubhouse, facilities and events for members and their guests is at the discretion of the WGSC General Manager and the Board. Members are responsible for the behaviour of their guests, and any incidents may lead to temporary or permanent bans.


We do not store credit card details nor do we share customer details with any 3rd parties.
This policy describes WGSC will make use of the data we handle in relation to our members. WGSC uses your personal data to manage and administer your membership and your involvement with the club, and to keep in contact with you for these purposes. Personal data of non-members, businesses and other organisations may also be stored to help with the management and running of the clubhouse.

Where WGSC relies on your consent, such as any consent we seek for email marketing, you can withdraw this consent at any time.

We collect and process personal data from you when you join and when we carry out annual renewals of your membership. This includes: your name, gender, date of birth, home address, email address, phone number, payment details where you provide these to pay for tickets or membership, and your marketing preferences, including any consents you have given us. Additional information will be generated as part of your involvement with the club such as purchases and account data.

We process this personal data for the following purposes:
- To fulfil a contract, or take steps linked to a contract: this is relevant where you make a payment for your membership, event tickets, merchandise, or enter a competition. This includes taking payments; communicating with you; providing and arranging the delivery or other provision of products, prizes or services
- As required by the Club to conduct our business and pursue our legitimate interests, in particular we will use your information to manage and administer your membership and your involvement with the club and to keep in contact with you for these purposes; we may choose to send you promotional materials and offers by email relating to similar products and services that you have already bought; we use data of some individuals to invite them to take part in feedback and market research
- Where you give us consent we will send you direct marketing or promotional material by email

We process the majority of your data for as long as you are an active member of WGSC and for a maximum of 6 years after this. Where we process personal data for marketing purposes or with your consent, we will continue to process the data unless you ask us to stop, when we will only process the data for a short period after this (to allow us to implement your requests). We also keep a record of the fact that you have asked us not to send you direct marketing or to process your data indefinitely so that we can respect your request in future. Where we process personal data in connection with performing a contract or for a competition, we keep the data for 6 years from your last interaction with us. We will retain information held to maintain statutory records in line with appropriate statutory requirements or guidance.


There are very few occasions where WGSC would need to offer a refund, and such refunds are made at the Club's discretion. If required, refunds can be issued by the Haywards Heath Rugby Football Club Limited Accounts team only, via 1 of 2 methods: 1. Credit issued to your Club membership card. 2. Bank transfer to a UK bank account. We are unable to offer refunds via PDQ (debit/credit card) or cash.

Q. How do I see my account balance?
A. In the App, tap on the 3 lines in the top left of the screen to open the pop out menu, and then tap on on "My Account"

Q. How do I top up my account balance?
A. Having money in your account simplifies buying food and drinks at the bar for you and also enables bar staff serve customer quicker as they don't need to wait for card payments to complete.

To top up your account go to "My Account" in the App, select "Top up balance" at the top, enter the amount you want to add and follow the instructions to complete the transaction.

Q. Can I see all my past bar purchases in the App?
A. Unfortunately at this time it is only possible to see your purchase history for items bought in the App.

Q. Where is my virtual membership card?
A. Go to "My Account" and tap on "My membership card"  and a 2D barcode will appear. This can be scanned at the start of your order by the bar staff to apply the members discount and then use your account balance to pay.

Q. How do I buy tickets for an event?
A. In the App, tap on the 3 lines in the top left of the screen to open the pop out menu, and then select "Buy Event Tickets". When you tap on the Events banner image the available events will appear.

You tap on an event to pick it, then select the date the event is on, and add the number of tickets you require before tapping on the "Add Ticket" button. You may then be asked some questions such as dietary requirements or whether you want to be on a specific table with others, before adding the tickets to your basket for payment. It may not let you add the tickets if there are other items already in our basket such as an unpaid top-up.

*** Make sure you are logged in to your account otherwise you will not see the members prices! ***

Q. How do I use my account balance to pay for event tickets?
A. In your basket you will be able to see the tickets. Then tap on blue text saying "Pay with Account", then enter the amount you want to use from your account balance and confirm it before checking out. You can partially pay for items from your account with the rest being a card transaction.

Q. Can I buy tickets for non-members?
A. You may buy tickets for guests (and other members) at the members price, but you should only invite the same guests to events 2-3 times a year. If they want to attend more events than this then please encourage them to join the club!

Q. How do I renew my membership?
A. Before your membership runs out, go to "My Account" and select "My membership". On that page you can add a new membership to your basket and then pay for it, and 12 months will be added on to your membership expiry date.
